Refund Policy

1. Scope of Application

This Refund Policy governs all transactions between StratovanceLabs, located at Avenida de Andalucía 30, Valdemoro, Madrid, Spain, and clients engaging our booking engine development, reservation system integration, and related web agency services.

2. Milestone-Based Payment Structure

All project payments are structured around defined milestones. Refund eligibility is assessed at each milestone transition point. The standard milestone structure for booking engine projects is:

  • M1 Project kickoff and requirements documentation — 25% of total project value
  • M2 Design system approval and technical architecture sign-off — 25% of total project value
  • M3 Core booking engine delivery and staging deployment — 25% of total project value
  • M4 Production deployment, integration testing, and project handover — 25% of total project value

3. Refund Eligibility Criteria

Refunds are evaluated on a case-by-case basis according to the following criteria:

  • 3.1 Full refund: Available within 14 days of project kickoff (M1) if the project has not commenced substantive work
  • 3.2 Partial refund: Proportional to undelivered milestones if the project is terminated by the client after work has begun
  • 3.3 No refund: Payments for completed and approved milestones are non-refundable
  • 3.4 Service failure refund: If StratovanceLabs fails to deliver a milestone within the agreed timeframe due to internal circumstances, a full refund of that milestone's payment will be issued

4. Refund Processing

Approved refunds are processed within 14 business days to the original payment method. For payments made via Stripe, refunds are initiated through the Stripe dashboard and credited within 5-10 business days depending on the issuing bank.

5. Dispute Resolution

In the event of a refund dispute, both parties agree to attempt resolution through direct communication at [email protected] before pursuing external mediation. Unresolved disputes shall be subject to the jurisdiction of the courts of Madrid, Spain.

Terms of Service

1. Acceptance of Terms

By accessing the website and services of StratovanceLabs, registered at Avenida de Andalucía 30, Valdemoro, Madrid, Spain, you agree to be bound by these Terms of Service. If you do not agree, you must not use our booking engine development, reservation system integration, or any related services.

2. Service Scope

StratovanceLabs provides custom booking engine development, real-time availability synchronization, dynamic pricing engine integration, secure payment orchestration, PMS and channel manager integration, multi-currency localization, travel UX/UI design systems, and cloud infrastructure services for hospitality brands. The exact scope of each project is defined in the individual Statement of Work (SOW) agreed upon at project kickoff.

3. Intellectual Property

Upon full payment of all project milestones, the client receives full ownership of all custom-developed code, design assets, and documentation created specifically for their booking engine project. StratovanceLabs retains ownership of all pre-existing frameworks, libraries, and internal tools utilized during development. Generic components, utility modules, and boilerplate code remain the property of StratovanceLabs and may be reused across projects.

4. Client Obligations

  • 4.1 Provide timely access to required third-party systems (PMS, OTA channels, payment gateways) for integration work
  • 4.2 Respond to design review and technical feedback requests within 5 business days
  • 4.3 Ensure all provided content (property data, pricing rules, availability calendars) is accurate and up-to-date
  • 4.4 Maintain the confidentiality of all project access credentials and API keys

5. Limitation of Liability

StratovanceLabs shall not be liable for any indirect, incidental, or consequential damages arising from the use of booking engine systems, including but not limited to lost revenue from booking failures, third-party platform downtime, or changes in third-party API specifications. Our total aggregate liability shall not exceed the total project value as stated in the applicable Statement of Work.

6. Confidentiality

Both parties agree to maintain the confidentiality of all proprietary information exchanged during the course of a project. This includes booking engine source code, pricing algorithms, availability data, and business metrics. The confidentiality obligation survives termination of the business relationship for a period of 3 years.

7. Governing Law and Jurisdiction

These Terms of Service are governed by the laws of the Kingdom of Spain. Any disputes arising from or relating to these terms shall be subject to the exclusive jurisdiction of the courts of Madrid, Spain.

8. Modifications to Terms

StratovanceLabs reserves the right to modify these Terms of Service at any time. Material changes will be communicated via email to active clients at least 30 days before taking effect. Continued use of our services after the effective date constitutes acceptance of the modified terms.
